General terms of sale

Applicable to any order placed from September 2026.

1. What is sold

The design, building and launch of websites, and the related services: copywriting, logo design, hosting, support and updates. Each service is covered by a written quote setting out its content, price and timeframe.

2. Quote and order

Every quote is free and valid for thirty days. The order becomes firm once the quote has been accepted in writing — an email is enough — and the deposit has been received.

Prices shown on this site and on quotes are exclusive of VAT. Belgian VAT at the applicable rate is added to the invoice where due.

3. Payment

  • The price of the website is payable in three instalments at no extra cost: 30% on ordering and before work starts, 35% on approval of the mock-up, 35% at launch.
  • Each instalment is payable within fifteen days of the invoice date, the last within thirty days.
  • The monthly plan (hosting, domain name and support) is invoiced in advance, month by month. The first year is included in the Showcase and Full website packages; it becomes payable on the first anniversary of the launch.
  • The plan may be terminated in writing by either party with one month’s notice.

Payments are accepted by bank transfer, or by Payconiq and Wero by scanning the code shown on the invoice. Full details are gathered on the pay an invoice page. No payment is taken on this site: it takes place in the client’s banking app.

In the event of late payment, the interest and compensation provided for by the Belgian Act of 2 August 2002 on late payment in commercial transactions apply automatically, after formal notice.

4. What the client provides

Texts, photos, logo, technical access and legal information are provided by the client, who guarantees holding the necessary rights to what they supply. Announced timeframes run from receipt of these items: any delay in supplying them postpones delivery accordingly.

5. Changes and approval

A mock-up of the home page is submitted to the client before the site is built. Two rounds of changes are included in the Showcase package, three in the Full website package. A change is a correction or an adjustment, not a change of direction: a redesign requested after approval of the mock-up is covered by a priced amendment.

If the client does not respond for thirty days, the site is deemed accepted and the balance becomes payable.

6. Ownership of the delivered site

Once paid in full, the client becomes the owner of the site: files, texts, layouts and code are assigned to them. Elements licensed from third parties (fonts, purchased photographs) remain subject to their own licence.

Hosting of the site and registration of the domain name are handled by Stephix, on its own account; they are covered by the monthly plan. This arrangement in no way restricts the client’s rights over their site: at their request, at any time and free of charge, Stephix hands over all the files and initiates the transfer of the domain name to the account of their choice, within fifteen days. Email addresses linked to the domain follow it; their content is handed over to the client in a usable form before any account is closed. No fee may be charged for this transfer, and it may not be withheld as security for payment of an invoice.

Unless refused in writing, the completed site may be shown in the Stephix portfolio.

7. Hosting, domain name and support

The monthly plan covers: hosting of the site with Infomaniak, renewal of the domain name, the email addresses linked to that domain, the security certificate, backups, and routine changes requested by the client — opening hours, prices, texts, photos, closing days — handled within two working days. A page redesign, an extra page or a new feature are not included and are priced separately.

The number of email addresses included depends on the package: one for the Showcase package, up to three for the Full website package. They are created by Stephix at launch, and read by the client on their phone, computer or in a browser. Any additional address is priced separately.

Stephix undertakes to keep the site online continuously, except for interruptions attributable to the host, and without any quantified availability guarantee. Should the business cease trading, the client is notified at least three months in advance and the transfer provided for in point 6 is carried out free of charge.

Where the client’s site collects personal data — a contact form, for example —, Stephix acts in this respect as a processor within the meaning of the GDPR, on the instructions of the client, who remains the controller. A data processing agreement is provided on request.

8. Warranty

For three months after launch, any malfunction attributable to the delivered work is corrected free of charge. Not covered: changes made by the client or by a third party, outages at the host’s data centre, and new features requested after delivery. After these three months, corrections remain included in the monthly plan.

9. Cancellation

The client may stop the project at any time. The deposit is retained and work already carried out is invoiced pro rata. If the project is stopped before any work has begun, the deposit is refunded.

Where the client is a consumer within the meaning of the Belgian Code of Economic Law and the contract was concluded at a distance or off premises, they have a fourteen-day withdrawal period. If they ask for the service to begin during this period, they will have to pay for the part already performed in the event of withdrawal.

10. Applicable law

These terms are governed by Belgian law. In the event of a dispute, the parties first seek an amicable solution; failing that, the courts of the judicial district of Brussels have exclusive jurisdiction. Where the client is a consumer, this clause does not deprive them of the right to bring proceedings before the court of their own place of residence.

Personal data

In accordance with the General Data Protection Regulation (GDPR).

In short: this site sets no advertising cookies, does not track your browsing and calls no outside service to display. The only data I receive is what you write to me yourself in the form.

Who is responsible

Qiantix SRL, whose details appear at the top of this page. For any question about your data, write to contact@stephix.be.

What is collected, and why

Only what you enter in the quote form: name, business, email, and optionally phone number and company name, along with the description of your project. This data is used solely to reply to you and draw up your quote. The legal basis is your consent, which you give by ticking the box before sending.

Who receives it

  • Me, in my inbox.
  • EmailJS, the service that delivers the form’s message to my inbox, as a processor. If this service is unavailable, the form simply opens your own email app and no data passes through a third party.
  • My host, Infomaniak, to make the site available.

Your data is never sold, passed on or used for advertising.

How long

Three years after our last exchange if the project does not go ahead. If we work together, documents relating to the contract are kept for the period required by Belgian accounting obligations, i.e. seven years.

Your rights

You may at any time request access to your data, its rectification, erasure, restriction of processing or portability, and withdraw your consent. A simple email is enough, and I reply within a month. If my reply does not satisfy you, you may contact the Belgian Data Protection Authority, rue de la Presse 35, 1000 Brussels — dataprotectionauthority.be.

This site sets no cookies. It stores a single piece of information in your browser’s memory: the text size you choose at the bottom of the page, so it is remembered on your next visit. This information never leaves your device and disappears if you clear your browser data.
